Event Insurance for Eagle Springs Facility Rentals

From the Eagle Springs Board of Directors:
In today’s environment when an event is held, the person or persons holding the event can be held liable for property damage and personal injury. Eagle Springs Association Inc., has like most commercial venues, instituted an Event Insurance requirement in the rental of the Clubhouse and Community Center. Event Insurance required by Eagle Springs Association Inc. covers the resident in whose name the event in the Clubhouse or Community Center is to take place. Included as part of this memo is info from the Markel Event Insurance* that specializes in Event Insurance. This information explains what Event Insurance covers and why Event Insurance is needed to protect the resident renting the facilities. Event Insurance can be purchased via the residents preferred insurance carrier or through Markel at Allstate Warner Robins. The refundable deposit when renting the Clubhouse and the Community Center is still required as this deposit is used for cleaning purposes if required or repairs not covered by Event Insurance. All of the above liabilities could have an adverse effect on the person or persons financial status unless they have the proper insurance to cover any potential event that they have organized.
*Markel Event Insurance Info: What if a guest injures themselves or others? Markel's event liability coverage will help protect you from financial loss if you are held legally responsible for bodily injury to someone injured at your event and/or property damage. Lost wedding rings, damaged photography, vendor bankruptcy, bad weather: These are examples of an event host's worst nightmare. Markel's event cancellation coverage can help reimburse you for lost deposits and non-refundable amounts if you have to cancel or postpone your event due to unforeseen circumstances. Prices start at a $75 without alcohol, $150 with alcohol, and the total liability limit at $500,000.

Revised Club House and Community Center Rental Contracts

From the Eagle Springs Board of Directors:
After reviewing the Club House and Community Center rental contracts and discussions with outside sources pertaining to HOA's, it has become necessary to revise these contracts. The main change is that no resident can rent the Club House or Community Center without obtaining Event Insurance.  The Board originally approved this last year as Event Insurance should cover everyone in every case.  Other changes are a clause that states there is no sub-renting of these facilities and strict adherence to the number of occupants allowed.  It has been brought to our attention that residents have sub-rented the facilities to non-residents, various organizations, and other types of groups.  Sub-renting our facilities is extremely complicated and opens up serious problems.  We notified our insurance carrier, State Farm, who stated that if a resident sub-rents the facilities, and the Association and the Board of Directors are aware of this, State Farm will drop all insurance coverage of Eagle Springs immediately.  These contract revisions are necessary to protect the Association, the Board of Directors, and the Residents.

To better serve our residents with HOA payments (due by February 1st 2019) office hours are extended during January and the beginning of February to Monday-Friday 9:00am-12:00pm and 1:00pm-6:00pm.

Eagle Springs Association Inc. Facebook

The Facebook Page created by one of the Board of Directors is now the Official Eagle Springs Facebook. The Facebook name was changed to Eagle Springs Association Inc. to reflect the correct corporation name. The Facebook page will be interfaced into the new Eagle Springs website that is currently under going testing. Implementation of the new website and the Facebook interface is scheduled to be completed no later than the end of June 2018.

2018 Covenants Proposed

The 2018 Covenant reveisions have been posted to this website. The 2018 Covenants Proposed can be viewed under the "SUBDIVISION" tab. Each individual 2018 Covenant Proposed is contained under each Sub Division name. Ballots will be mailed to each Sub Division resident in the near furture to vote on the proposed changes to each Sub Division covenant. The ballots must be returned by September 30, 2018 to be counted. Results will be announced at the Annual December 2018 meeting.
Following are sections of the covenant revisions that require attention by residents as most of these revisions involve fines, liens, interest charges, etc.

5.3.1 Recreational Equipment.
6.11 Vehicle Storage & Parking.

Affordable Housing Information

Two (2) new documents have been posted under the "INFORMATION/HOUSING DEVELOPMENT"  Section. These documents are:
1. The May 22nd 2018 PowerPoint Presentation on where the Affordable Housing Project now stands. This was presented at the May 22nd board meeting.
2. The 2018 Qualification Plan Documentation that the project developer must follow to obtain DCA approval.

Seawall Replacement around Pool Complex

The Seawall/Retaining Wall around the Pool Complex is in danger of collapsing and eroding the landscaping around the pool complex. This is an unexpected cost that will be taken from the Capital Expenditure Reserve Acccount.

We are awaiting a quote from the only firm that does this type of work in Central Georgia. At this time the estimated cost is around $20,000.00. This does not include the cost to replace the sod that will be destroyed in accessing and replacing the Seawall.

Pool Complex Repairs

Residents FYI: Based on inspections of the pool complex the following maintenance and repairs are required:
1. An engineering company inspection to certify the soundness and structural integrity of the waterslide, tower and pool complex. Inspection conducted on March 23, 2018. Awaiting engineering report.
2. Waterslide tower in need of cleaning and painting. Last time cleaned and painted was in 2012. Cost to clean and repaing tower is $22,425.00. Work to be done by same firm that did work in 2012.
3. Entire concrete pool deck and pool complex structures need to be pressure washed. Work is out for quotes.
4. Numerous cracks in pool deck concrete need to be routed and filled with sealer. Obtaining quotes.
5. Tower needs reinforcement at certain locations to improve strength. Obtaining quotes.
6. Fence around pool complex needs repainting.
The Pool Complex is the the most expensive part of the infrastructure to maintain. Annual costs are approximately $125,000 to $150,000. This includes around $50,000.00 for lifeguard services and $29,400 for pool management company to maintain chemicals, pool cleaning, etc.

We want to inform all the residents of Eagle Springs that any existing Facebook Page in the name Eagle Springs Homeowners Association or any other Facebook Page with similar names are not official and is not authorized by the Board of Directors.
An official Eagle Springs Facebook Page is in the process of being established in conjunction with a new Eagle Springs website.

Clubhouse Refurbishment

At the board meeting on February 20, 2018 the board approved a contractor for the refirbushment of the Clubhouse. Work has started on the interior of the Clubhouse on February 26th. The main Clubhouse room will be available for rental starting March 23, 2018. Until further notice all other Clubhouse rooms will be closed for renovation and will not be available for rental.
Landscaping was added on the side of the Clubhouse with the addition of two (2) benches, a shade tree along with the cleaning out of brush and weeds. Irrigation was added for the area.
